Swale Academies Trust has an exciting opportunity for an Administration Assistant to join our Central Services team based at Ashdown House in Sittingbourne. We are looking for a professional, highly organised, and adaptable individual to provide vital support to the Company Secretary, Trust Executives, and our wider Central Services.

This is a versatile and essential role that offers a unique insight into the governance and operational heart of the Trust. Your key responsibilities will include:

  • Company Secretary & Governance Support: Assisting with policy tracking, website compliance, and maintaining critical registers for Director business interests as well as data protection impact assessment records.
  • Information Management: Managing the initial intake and progress tracking of Freedom of Information (FOI) and Subject Access Requests (SARS).
  • Meeting & Panel Coordination: Organising hearings and panel meetings, including preparing sensitive paper evidence packs.
  • Central Services Hub: Acting as the first point of contact for visitors, managing the Trust’s main and recruitment email inboxes, and organising meeting room logistics.
  • Recruitment Liaison: Supporting the HR Recruitment Officer with vacancy adverts, job descriptions, and pre-employment matters.

The successful candidate will be a proactive team player with a "can-do" attitude and the ability to maintain absolute confidentiality when handling sensitive information. You must be comfortable working in a fast-paced environment where priorities can shift rapidly, ensuring high standards of diplomacy and accuracy at all times. Proficiency in Google Suite and excellent record-keeping skills are highly desirable for this role.
