This is not your usual Admin Assistant post. At St Paul's School, we pride ourselves on creating an inclusive and nurturing environment for our children. We are seeking an Admin Assistant who can carry out their responsibilities with compassion, efficiency, and a genuine passion for supporting our diverse student body and their families.

The ideal candidate will:

  • Welcome children who are vulnerable and often have limited experience of the English school system, while being sensitive to their challenges and supportive of their needs.
  • Possess a warm and friendly demeanor with a big smile and a big heart, readily shared with children, parents, and staff.
  • Offer a listening ear to children, staff, and parents, ensuring their concerns and inquiries are heard and addressed.
  • Be able to undertake admin tasks such as writing letters, updating families using the schools communication systems.
  • Ensuring that the registers are completed and any first day calling needed for Safeguarding is shared with the Family Liaison Officer in a timely manner
  • Ensure that information is shared with the school kitchen about dinner numbers and allergy needs.
  • Undertake new applications for school admission, occasionally on a daily basis, ensuring a smooth process for prospective families.
  • Have the ability to identify illnesses and rashes at a glance, and efficiently manage both major and minor first aid incidents.
  • Demonstrate comfort and professionalism when dealing with bodily functions of small children, and be willing to provide necessary assistance.

What will be your role?

As an Admin Assistant at St Paul's School, your primary responsibility will be to warmly welcome children and parents as they enter our premises. You will play a vital role in creating an inclusive and supportive environment, ensuring that even our most vulnerable families feel valued and welcomed.

Additionally, you will be responsible for monitoring attendance, punctuality, and the overall well-being of our students as they arrive at school. Using your initiative, you will represent the face of our school and communicate effectively with individuals from all walks of life.

You should be flexible, willing to learn new skills on the job, and open to necessary training. While supporting the entire school team, your maturity, sensitivity, and excellent interpersonal skills will be crucial. A strong sense of confidentiality, efficiency, and a good sense of humor are also essential. Please note that working at the front of the school may present challenges at times, requiring resilience and composure.

This is a fulltime position of 37 hours per week, running from 8am to 4.00pm from Monday to Thursday, and until 3.30pm on Friday, including INSET days.
