As an Admissions Officer, you will be a key member of the Marketing and Admissions Team, serving as one of the first points of contact for prospective students and parents. Your role is central to ensuring a seamless admissions experience and maintaining Earlscliffe's reputation for excellence in compliance and student care.

Key Responsibilities

Admissions:

● Manage all school management systems (Salesforce, Conga iSAMS, and Google) for admissions processes:

o Ensure accurate data entry and transfer between systems.

o Maintain records, such as boarding house allocations and subject choices.

o Handle student enrolment updates, including rollovers and withdrawals.

● Issue offer letters and joining forms, ensuring timely completion and signatures.

● Liaise with finance department to track incoming payments.

● Coordinate student arrival logistics, including contact information, travel plans, and taxi arrangements.

● Work closely with the Deputy Head of Boarding & Pastoral to allocate accommodations, ensuring individual needs and compliance requirements are met.

● Maintain strong relationships with educational consultants and partners.

● Present on scheduled student arrival days.

● Collaborate with the student recruitment team to provide a “best in class” admissions experience.

● Liaise with Senior Tutors to share key information and manage smooth arrival process

● Support school visits, entrance test administration, and prospective student inquiries as needed.

 

UKVI compliance:

● Ensure adherence to UKVI regulations throughout the admissions process:

o Request CAS (Confirmation of Acceptance for Studies) after checks and payments.

o Conduct Right to Study and termly passport checks.

o Record student travel.

o Record guardian information, ensuring ID and address checks are completed.

o Notify the Dukes Education Visa Manager of student withdrawals.

● Manage due diligence for educational consultants, issuing collaboration agreements upon completion.

 

Marketing support:

● Monitor and analyse admissions data to identify growth opportunities, key trends, and customer satisfaction metrics.

● Provide admissions insights to the Marketing Officer for use in promotional materials.

● Occasionally assist with parent/student visits to support marketing efforts.

Additional:

● Complete mandatory compliance and CPD (Continuing Professional Development) training.

● Take on additional administrative tasks as assigned by the Head of Marketing and Admissions.
