JOB PURPOSE:     To co-ordinate the administrative support for the Preschool Manager, including collating statistical data.   

Term time position - Monday - Friday 8am - 12.30

MAIN DUTIES: 

  • To collect fees from parents/carers and to ensure that accurate invoices and transaction records are kept and updated as necessary. 
  • To maintain accurate databases and paper files as necessary. 
  • To collate registers & waiting lists for children and staff on a regular basis. 
  • To prepare financial and other reports as required and to manage the petty cash system. 
  • To maintain the preschool’s accounting records in accordance with the charity’s financial procedures. 
  • To collate outcomes from senior preschool staff with reference to children’s settling-in and start date procedures. 
  • To oversee administrative arrangements for conferences, meetings and training events. 
  • To process correspondence and arrange appointments for senior staff. 
  • To assist in the collation of information to enable the Area Manager to make detailed returns to the local authority within stringent time-scales. 
  • To draft newsletters, and other literature, as required. 
  • To collate orders for administrative supplies and facilitate payments. 
  • To contribute to and attend his/her supervisions and staff appraisal. 
  • To attend regular team meetings, conferences, training events or other meetings as identified by the Preschool Manager, take minutes as required. 
  • To ensure adherence to preschool’s code of practice on confidentiality. 
  • To keep up to date with current good practice.

PERSON SPECIFICATION: 

Essential Criteria 

  • Proven experience of manual and computerised bookkeeping. 
  • Proven experience of undertaking general administration. 
  • Experience and knowledge of setting up and maintaining manual and computerised record and files. 
  • Ability and experience of writing basic financial reports. 
  • Intermediate to Advanced Microsoft Word and Excel (or equivalent) skills. 
  • Experience of having managed petty cash. 
  • Excellent written and verbal communication skills including experience of having produced written documentation to a high standard. 
  • Experience of diary management. 
  • Ability to work as part of a team and own initiative. 
  • Ability to use Microsoft Access (or equivalent) to maintain data. Ability to manage own time and prioritise tasks. 
  • Good customer awareness. 
  • Demonstrable understanding of Data Protection and confidentiality issues. 

Desirable Criteria 

Experience or knowledge of the voluntary sector.
