You should be confident and able to work in an environment that is busy, at times having to work under pressure - dealing with various requests at once, whilst being able to maintain good relationships with families, external professionals that come into our school and the school’s own staff and governors.

This role expects you to be able to work flexibly, within a small team of staff on the school’s reception desk. You will be required to undertake accurate and efficient administration tasks, be organised and confident when answering and speaking on the telephone and maintain excellent communication and interpersonal skills. You will be required to work independently as well as part of a team and be able to deal with matters arising with both confidentiality and sensitivity.

 

Main Tasks

  • Assist in providing a friendly and helpful reception service to all visitors to the School
  • Answering the telephone, taking messages, accurately recording them and either actioning them or passing them on to the appropriate person(s) in a timely manner
  • Ensure colleagues, visitors and telephone callers are treated with courtesy, being polite, friendly and helpful
  • Assist with the upkeep of the pupil registration database on a daily basis, pupil correspondence and contact information
  • Support the School’s Safeguarding Procedures and Policies by ensuring visitors are signed in and issued with appropriate identification
  • Assist in the opening and distribution of incoming mail and the recording of outgoing mail
  • Ordering of office supplies as required
  • Filing and upkeep of pupils' records
  • Provide first aid as required and assist in the administration of pupil medicines during the school day and the completion of first aid documentation to include collating, updating and distributing pupil lists of health and dietary information
  • Assist in supporting staff with the typing of Word / Excel documents and any required photocopying
  • General administrative tasks as directed
