We are looking for a highly efficient, highly competent, diligent and hardworking Administrative Assistant to work in our admin team and support our specialist post-16 college.

The hours for this position are 25 per week and are flexible to suit the candidate within our opening hours of 8:30 - 16:30, Monday to Friday, year round (not term time only).

This is a temporary position for 5 months but there is a possibility that the contract may be extended for the right candidate. An immediate start is available.

Key Responsibilities

  • Answer telephone calls and pass on messages to staff either verbally or via email.
  • Deal with general email enquiries and follow up if necessary.
  • Maintain student records in CPOMS and SharePoint as required.
  • File student documents electronically using SharePoint and CPOMS.
  • Undertake any training in the college communication and IT systems.
  • Maintain finance records in conjunction with the Finance Director.
  • Register learners with examining boards in conjunction with the Programme Manager
  • Claim certificates from examining boards and distribute certificates in conjunction with the Programme Manager
  • Book and prepare exams in conjunction with the Programme Manager
  • Assist the training team with inputting data onto databases, maintaining learner records and adhering the awarding body’s paperwork requirements
  • Assist with filing and archiving of learner records
  • Assist the college as a whole with general administrative duties including creating and updating letters and documents, proof-reading documents and minuting meetings
  • Assist HR by maintaining employee personnel records
  • Work on the reception desk on occasion to cover absence.
  • Provide assistance to other staff as required
  • Ensure that confidentiality is respected at all times
  • Promoting equality and diversity as part of the culture of the organisation
  • Be aware of the responsibility for personal Health, Safety and Welfare and that of others who may be affected by your actions or inactions.
  • Co-operate with the College on all issues to do with Health, Safety and Welfare.
  • Support the College’s implementation of all current statutory requirements.
  • Adhere fully to company policies and procedures

Continuing Professional Development

  • In conjunction with the Office Manager, take responsibility for professional development, keeping up to date with research and developments related to college efficiency, which may lead to improvements in the day-to-day running of the college.
  • Undertake any necessary professional development as identified taking full advantage of any relevant training and development available.
  • Maintain a professional portfolio of evidence to support the Performance Management process – evaluating and improving own practice.
