Job Purpose

To provide a full range of financial and administrative support to the school.

 Main Duties and Responsibilities

  • Maintenance of the school’s online payment and communication system (Tucasi), ensuring that all information is correctly added and up to date and that online payments are correctly allocated to the school’s financial system.
  • Administration of school lunches, including the coordination of menus with the caterer, the recording of meals and weekly agreement with the caterer as to the number of meals served, the collection of payments for meals, the recording of Free School Meal entitlements and the management of debt from late payments. Act as the prime point of contact for catering staff
  • Administration of the school Breakfast Club including the allocation of places, the maintenance of waiting lists, invoicing and collection of fees and the administration of childcare voucher payments. 
  • Administration of school trips, workshops and other paid for activities and orders to include coach booking, the calculation of parental contributions and the issuing of letters to parents requesting payments and chasing of late payments/permission slips.
  • Maintenance of the school letting system (Booking Pro) – processing enquiries and liaising with hirers, coordinating dates and facilities, administering invoices and the collection of income. 
  • Undertaking routine accounting operations using FMS including receiving and processing orders, checking and processing invoices and requests for payment, processing BACS runs and raising cheques for suppliers, recording of income, manual journal entries, reconciliations. Respond to account queries from staff and suppliers, resolving problems and using discretion in referring issues to the School Business Manager.
  • Counting of cash from income and school collections and preparing cash and cheques for banking.
  • Assisting the School Business Manager with school budget setting and monitoring with particular responsibility for the catering and breakfast club budgets and periodic reports for governors on these areas.
  • Recording of pupil premium eligibility including updating SIMS and advising relevant parties.
  • Maintaining the school asset register in conjunction with IT Technician
