The Discovery School is seeking a Finance Assistant with experience of finance in an educational environment.

This is an exciting opportunity for someone to join our friendly team in providing the financial support that enables our school to provide every child with an outstanding education.  In return we offer a competitive salary, a range of staff benefits, 5 weeks paid holiday and a Local Government pension.  

The post is for 16 hours per week on a 40 weeks per year contract (term time only including attendance on staff development days plus one week to be agreed). Working hours can be agreed and are flexible for the right candidate. This is a newly created role, following an office restructure, so there may be potential for increased hours or overtime, dependant on work requirement.

You will be required to be an excellent team player, working within our dedicated friendly team, to support the Head Teacher and School Business Manager in the administration of day to day financial duties. The role includes inputting data so experience and knowledge of SIMs and FMS6 will be beneficial. 

This is a demanding role and you will need to be an excellent team player, able to manage your workload and if necessary, support the Office team whilst ensuring a high-quality service for pupils, staff, parents and visitors. The role provides an excellent opportunity to work with an established, experienced and dedicated team.

Main responsibilities include:

  1. Undertake a range of financial procedures, including placing orders, invoicing, and preparation of cheques, banking cash, issuing receipts and dealing with supplier issues.
  2. Enter income and expenditure on the finance system.
  3. Receive and record monies from pupils and parents / carers relating, for example, to school visits, uniform sales and photographs
  4. Assist with the preparation of the draft annual budget and financial plans.
  5. Maintain the school’s accounting systems.
  6. Manage petty cash and ensure appropriate use of the school’s bank accounts.
  7. Process orders and arrange payment of invoices for stocks, including checking supplier statements.
  8. Undertake reconciliations, for example of bank accounts and petty cash and of the purchase ledger control account.
  9. Collate VAT returns and payments.
  10. Complete Local Authority returns within specified deadlines.
  11. Work closely with the School Business Manager to undertake Financial Health check and complete closedown procedures.
  12. Chase outstanding payments where necessary.
  13. Assist with the School lettings process, creating invoices and chasing payments not received.
  14. To monitor the Finance Email box and distribute and reply to emails, as necessary.
  15. Responsible for adherence to financial regulations and audit requirements and advising on the application of these.
  16. Undertake other administrative support duties, such as reception duties and answering the telephone.
