Joydens Wood Junior School are looking to appoint an Office Administrator on a job share basis to support their busy school office.  The successful applicant will need to have previous administrative experience, preferably (although not essential), from working in a school and using SIMS.  The role will involve providing front of house services and general clerical and administrative support to the school.  Among other admin roles, the successful applicant will be responsible for managing admissions, Single Central Record, attendance and the school website. Support staff in schools make a strong contribution to ensure the smooth operation of the school on a daily basis. They assist the senior leaders and other members of staff with administrative tasks.  They provide excellent welfare support, so all pupils feel safe, secure and happy at our school.  They support and are involved in the constant development of the school in all areas and aspects.

Organisation

  • Undertake reception duties, answering routine telephone and face to face enquiries and signing in visitors.
  • Assist with pupil welfare duties, including medical needs, looking after sick pupils, liaising with parents/staff etc.
  • Ensure the accurate completion of registers twice a day and carry out first day absent monitoring.
  • Support the Family Liaison Officer in sending absence/lateness letters to parents as appropriate
  • Assist in arrangements for school trips, events etc.
  • Provide general clerical/admin. support e.g. photocopying, filing, faxing, complete standard forms, respond to routine correspondence.
  • Provide administrative and organisational support to other staff.
  • Maintain manual and computerised records/management information systems.
  • Produce lists/information/data as required e.g. pupils data.
  • Undertake typing and word-processing and other IT based tasks.
  • Take notes at meetings.
  • Sort and distribute mail.
  • Undertake administration of complex procedures, such as collating and updating children’s medical records
  • Maintain and collate pupil reports.
  • Maintain the Single Central Record.
  • Ensure the Pupil Census accurate and submitted within the published deadlines on a termly basis
  • Complete and submit complex forms, returns etc, including those to outside agencies, eg. DfE
  • Organise teachers’ cover and oversee the weekly cover timetable
  • Carry out End of Year procedures towards the end of each academic year to ensure SIMS is ready for the following academic year.
  • Manage the admission process for new Year 3 pupils and any in year transfers.
  • Organise the transfer of CTF folders and manual folders to secondary schools.
